What Cherry Hill Academy Learning collects, why, and how long it is kept. Plain language, because a policy nobody reads protects nobody.
What we collect
Your name, email and organization. You give these when you first sign in. Your name appears on your CPE certificate, so it has to be the name you want on it.
Your progress and results. Which modules you completed and when, your review answers, every assessment attempt with its score, and your course evaluation.
Your lab coach exchanges. What you send the lab coach, and what it sends back, is stored against your account. It has to be: working the lab is a requirement for completing a module, and this is the evidence that you did. It is kept for the same five years as the rest of your CPE record.
Your exchanges are sent to Anthropic, which runs the model behind the coach, in order to produce the reply. They are not used to train anyone's model, and the coach is given no part of your CPE record beyond the lab you are working on.
Why we keep it, and for how long
CPE records are kept for five years. That is not our preference, it is NASBA Standard 24 and the condition of being a registered sponsor. If a state board asks us to evidence your credit, the record has to exist.
That covers who you are, what you completed, when, your scores, and the fact that you submitted the required evaluation. Every assessment attempt is retained, not only the passing one, because a register that shows only passes cannot evidence that the assessment was a real hurdle.
Sign-in links are transactional. They carry no marketing and there is nothing to unsubscribe from.
Program updates are marketing, they carry an unsubscribe link, and unsubscribing from them does not affect emails about a course you are enrolled in.
Both are sent through Brevo, our email provider, which processes your address on our instructions.
Analytics
We use Google Analytics to count page views and understand which courses get used. It sees pages and devices. It is not passed your email address, your answers, your scores, or anything you type into a lab.
Your credential is public by design
When a certificate is issued it gets a permanent public verification page, so an employer or a state board can confirm it without going through you. That page shows your name, the program, the credits and the date. It does not show your scores, your answers or your email address. That is the point of a verifiable credential, and it is worth knowing before you earn one.

Write to cpe@cherryhilladvisory.com and a person will answer. We can correct your details or tell you what we hold.
We cannot delete a CPE record inside its five-year retention window: it is the evidence behind a credential we issued, and a sponsor that deletes those on request has no register. We will say so plainly rather than quietly not doing it.
